How to refund transactions from Cloud

Refunding transactions from Cloud

Overview


Mashgin Cloud lets you issue refunds directly from a web browser — no physical access to your kiosk is required. Use this guide to:

  • Issue a full refund for an entire transaction
  • Issue a partial refund for specific items only
  • Find a transaction using date, card number, or amount filters

What you'll need:

  • The date, amount, or last 4 digits of the card used in the transaction

Tip: Refunds appear in Cloud on the day they were processed, not the date of the original transaction — if you can't find one, try adjusting the date range by a day or two.

Important: You can only refund a transaction once — whether partial or full. Once issued, the refund cannot be modified or adjusted again. Partial refunds are only available for transactions processed through FreedomPay. All other payment integrations (including MashCash, cash, and stored value) support full refunds only.


Step 1. Log in and navigate to Transactions

  1. Open a web browser and go to cloud.mashgin.com
  1. Log in with your Mashgin Cloud credentials
  1. In the left-hand sidebar, select Transactions

Step 2. Locate the transaction

Use the filters to narrow down your search:

  • Date range — select the date the transaction occurred
  • Last 4 digits of the credit card used
  • Payment amount or specific items purchased
  • Card type (Visa, Amex, etc.)

Apple Pay and digital wallet transactions may show different last four digits than the physical card on file.

💡

If you can't find the transaction, try checking a day or two before or after — the recorded date may differ slightly from the purchase date.

Step 3. Issue the full refund

  1. Select the transaction from the list
  1. Click Refund in the top right corner of the transaction details
  1. Review the refund summary and confirm

Once completed, the transaction will show a Refunded status in Cloud.

Important: Confirm all details before submitting — refunds are permanent and cannot be undone.

🔀 How to Issue a Partial Refund


Use a partial refund when only specific items from a transaction need to be returned to the customer.

⚠️

Partial refunds are only available for FreedomPay transactions. If your location uses a different payment processor, you can only issue a full refund.

Step 4. Issue the partial refund

  1. Select the transaction from the list
  1. Click Refund in the top right corner of the transaction details
  1. Select the specific items you want to refund
  1. Click the red Refund button to confirm

Important: You can only refund a transaction once. If a partial refund has already been issued, no further refunds can be processed for that same transaction.
