Troubleshooting QR Code Labels

Steps to resolve QR code labels that aren't being recognized on the Mashgin kiosk — covering placement, POS ID setup, duplicate codes, day part availability, and syncing.

📋 Troubleshooting Steps


Step 1. Ensure QR Code is Placed On Top of an Item

We recommend that QR code labels are placed on a flat surface directly on top of a container or item in order to be visually recognized. Labels placed flat on the base of the kiosk will often not be recognized. QR codes must be a minimum of 2 inches × 2 inches in size.

Step 2. Check that the Item has an Associated POS ID

The kiosk matches a QR code to an item using the POS ID field in Creator.

  1. Open the item in creator.mashgin.com
  1. Confirm the POS ID field has a value — if blank, enter the REF ID from your QR code label
  1. Check for duplicates — if two items share the same POS ID, scans will behave unexpectedly
  1. Check for inactive items — a POS ID attached to an inactive item can block recognition even if an active item also has it

Step 3. Check the Day Part or Availability of the Item

If the item has a Day Part configured, the kiosk will not recognize its QR code outside of those hours.

  1. Open the item in Creator and check the Day Part / Availability field
  1. Confirm the current time falls within the available window
  1. Adjust or remove the restriction if needed

Step 4. Sync the Kiosk

After making any change in Creator, sync the kiosk before testing again:

  1. Wait 1–2 minutes for the automatic sync, then re-test the label
  1. If still not working, enter Manage Mode on the kiosk and press Sync DB
