How the Micros (Activate) integration syncs menus with Mashgin Creator — adding items, why items go inactive, containers, and which fields survive a sync.
📋 Overview
The Micros integration syncs your menu between the Micros Activate portal and Mashgin Creator. This FAQ covers how menu and sales injection work, how to add items, why items go inactive, and which fields you can safely edit in Creator without them being overwritten on the next sync.
Two-way data flow: Menu Injection pushes menu items one-way from Activate into Mashgin Creator. Sales Injection sends sales data back into your databases.
How do I add new items to the menu?
- Add the new item in the Activate portal.
- Wait for the confirmation email (typically 10–15 minutes) letting you know the item was added successfully.
- After the email arrives, Creator picks up the new item on its next sync (can take up to 3 hours).
- To pull it in faster, go to Creator → Import Menu → Sync.
A manual sync only works after you've received the confirmation email from Activate.
Once the item is in Creator, pose it as normal:
- If the UPC matches one in Mashgin's database, it automatically receives a Global Match.
- If not, pose the item on the kiosk after pressing Sync DB in Manage Mode on the Side UX.
What if an item is added directly in Creator or on the kiosk instead of Activate?
On the next sync, any item not present in Activate stays in the menu but is marked inactive in Creator. Reactivating it only holds until the next sync. The item must be added to Activate to sync properly and stay active.
Why do some items keep being marked inactive in Creator?
Items must be added to Activate and marked active there in order to sync to Creator and remain active.
What about containers?
Because containers usually aren't sellable items, they can be added directly in Creator — but the item inside the container must still be added through Activate. For containers to stay active in Creator, append (Micros) to the container name.
Which fields can I edit in Creator without them being overwritten on the next sync?
- Discounts
- Tags — can be added from Activate, but tags you add in Creator are preserved
- Dotcodes / Labels — labels assigned manually in Creator are not deleted
- Pay-by-Weight items
- Containers — as long as the name is appended with (Micros)
