How to Set an Item as Active / Inactive

Hide a menu item from the kiosk temporarily without deleting it by toggling its Active status in Creator. Useful for sold-out items, seasonal pulls, or items in transition.

Every item in Creator has an Active status. When an item is Active, it appears on the kiosk and can be purchased. When it's Inactive, it's hidden from the kiosk β€” but it's still in your menu, with all its history, settings, and configuration intact.

Use Inactive when you want to temporarily hide an item without losing it:

  • An item is sold out for the day
  • A seasonal item is between seasons
  • A product is being reformulated and shouldn't sell yet
  • You're staging items before a menu launch

What you'll need:

  • The name of the item (or items) you want to toggle

Step 1. Open the item in Creator

  1. Go to creator.mashgin.com and log in
  1. Confirm you're in the correct location at the top of the screen
  1. On the All Items page, search for the item by name, Item ID, SKU, or POS ID
  1. Click the item to open the item editor

Step 2. Toggle the Active status

  1. In the item editor, find the Active toggle (or Status field)
  1. Switch it off to make the item Inactive (hidden from the kiosk)
  1. Switch it on to make the item Active (visible on the kiosk)

Inactive items still appear in Creator so you can reactivate them later. They are only hidden from the kiosk and mobile site.

Step 3. Save and verify on the kiosk

  1. Click Save at the bottom of the item editor
  1. Changes sync to the kiosk automatically within a couple of minutes
  1. To verify, check the kiosk β€” inactive items should no longer appear at checkout

  • Use Inactive for sold-out items. When something runs out mid-shift, set it to Inactive so customers don't try to order it. Reactivate when restocked.
  • Bulk-toggle for menu transitions. When swapping a seasonal menu in or out, use multi-select on the All Items page to mark many items active or inactive at once β€” see How to Bulk Edit Menu Items.
  • Inactive items still count for reporting. Historical sales for an inactive item are preserved in Cloud reporting. Toggling status doesn't affect past data.
  • For time-of-day visibility, use Day Parts instead. Active/Inactive is for manual toggling. If you want items to appear and disappear automatically based on the clock, use How to Schedule Items from Stations.

Inactive item still shows on the kiosk

Issue: An item was set to Inactive in Creator but customers can still order it.

Fix:

  1. Confirm the change was saved in Creator (the item editor must be saved, not just toggled)
  1. Wait 1–2 minutes for the kiosk to sync, or manually sync the kiosk
  1. Confirm you're checking the correct location β€” active state is per-location

Item won't toggle to Active

Issue: Setting an item to Active doesn't make it appear on the kiosk.

Fix:

  1. Confirm the item is assigned to a station β€” items with no station don't appear regardless of Active status
  1. If the item has Day Parts applied, confirm at least one of them is currently active
  1. Sync the kiosk and try again
